Add-on Fee Templates

Add-on Fee Templates are used to generate fees that can be added to reservations or accounts. Each Add-on Fee Template you create can have its own unique settings for fee behavior.

To create, view and edit Add-on Fee Templates:

    1. In the Settings menu, expand the Fees / Payments section.
    2. Click Add-on Fee Templates.

Create an Add-on Fee Template

Add-on Fee Template settings control how the fee behaves when used. It's important to know that some of these settings will only have an impact in specific situations.

To create a new Add-on Fee Template, take the following steps:

    1. On the Fee Types page, click the button to Create a New Fee Type.
    2. Enter a Fee Name
    3. Enter an Amount and indicate if it is a Dollar or Percentage.
    4. Adjust the optional settings as desired (described below).
    5. Click the Save Fee Type button.

The newly created fee will be displayed in the list of Existing Fee Types. It can be edited by clicking on the pencil.svgedit icon to the right.

Fee Template Settings and  Details

The settings on the the Fee Template can impact the behavior of the fee when it is added.

 

Fee Name

The Fee Name will display in reporting, and it will be visible to clients when added to their reservation or account.

 

Amount

The Amount can be set to a dollar or percentage value using the dropdown menu. This will be the default amount of the fee when it is added.

If this fee is added manually, the default amount can be changed at that time. However, when this fee is added automatically, the default amount will be used.

 

Description

The Description is primarily for administrative reference. It does not show to the public.

 

Minimum and Maximum Age / Grade

You can use Minimum Age / Grade limits or Maximum Age / Grade Limits or a combination of both to restrict who receives this fee.

This setting only applies to Add-on Fees that are added automatically.

Anyone below the minimum or above the maximum will not be assigned the fee.

 

Allocation Account

Setting an Allocation Account for the Add On Fee will enable additional financial tracking in reports.

Fee Inclusion Structure

A Fee Inclusion Structure lets you specify which items on a reservation count toward the calculation of the Add-on Fee. You can choose the desired Fee Inclusion Structure from the dropdown menu.

This setting works only with Percentage fees that are added automatically to a reservation.

Adjust this fee if a modification is made to a reservation

Check this box if you want this Add-on Fee to recalculate when changes are made to the reservation.

If this box is not checked, the Add-on Fee amount will not change when reservation fees are adjusted.

This setting works only with Percentage fees that are added automatically to a reservation.

 

Automatically apply to admin reservations

Check this box if you want this Add-on Fee to automatically add to reservations made by administrators.

This setting only has impact on Add-on Fees that are added to a Session.

 

Automatically apply to public reservations

Check this box if you want this Add-on Fee to automatically add to reservations made by your clients.

This setting only has impact on Add-on Fees that are added to a Session.

 

Enabled

This box should be checked by default. This makes the Add-on Fee Template visible to admins so they can use it.

Unchecking this box only hides it from administrative view. It does NOT change fee behavior on any existing sessions or remove it from where it has been added.
